The problem

Fleet and station fuel is still managed by hand: costly and opaque

Four gaps repeat in every fleet that runs on cash, coupons and monthly reconciliation.

No real-time oversight

Companies only see consumption after the fact. There is no immediate view of refuelling as it happens.

Fuel fraud and waste

Cash fills and paper coupons open the door to manipulation, leakage and inflated fleet bills.

Slow paper settlement

Manual invoices, exhausting monthly reconciliation, and difficulty producing accurate, compliant tax invoices.

Scattered vehicle services

Oil, maintenance and washing are handled outside any system, with no schedule and no single record per vehicle.

The result: higher operating costs, continuous financial leakage, and decisions without data.

The solution

Three integrated layers that close the fuel loop

Full control, full transparency and operational efficiency in one system, with no complex infrastructure on the customer side.

Layer one

Smart devices at the station

Connected units at the pumps record every dispense precisely and stop manipulation at the source.

  • Installed on existing pumps
  • Quantity recorded at the source
  • Installation and maintenance contracts
Layer two

A mobile app for drivers

Secure cashless refuelling, an instant transaction log, and vehicle service requests. Available on iOS and Android.

  • Fuel and service balances
  • A receipt for every transaction
  • Nearest contracted station
Layer three

A cloud platform for managers

A real-time dashboard for fleets and stations: spending limits, reports, alerts, and e-invoicing.

  • Limit per vehicle and driver
  • Smart alerts
  • Tax-ready e-invoices
How it works

A closed loop in four steps

Every riyal of fuel is documented from the pump to the invoice.

  1. 1

    Top up the wallet

The fleet company loads its fuel balance and sets spending limits per vehicle and driver.

  2. 2

    Smart refuelling

The driver refuels at the station through the app and the smart devices, with no cash or coupons.

  3. 3

    Instant documentation

Every transaction is recorded in the cloud immediately: quantity, vehicle, location and time.

  4. 4

    Reports and invoicing

Real-time consumption reports and e-invoices ready for settlement and tax requirements.

The model repeats on any station and any fleet, with no change to the customer infrastructure.

Vehicle services inside the app

Fuel first, and everything else the vehicle needs in the same record

Each service is requested from the app, approved with a supervisor code, and logged against the vehicle itself.

Fuel filling

Request a fill by litres or by amount, with the balance checked before approval.

Oil change

Request the service and record the agreed price and the provider on the vehicle record.

Scheduled maintenance

Schedule maintenance and document it in one record per vehicle instead of scattered paper.

Car wash

A service that is requested, approved and charged from the service balance, with no cash.

Nearest station or car wash

The nearest contracted stations and car washes, with distance, octane and price before you pull out.

Transaction log and receipts

A receipt for every transaction with reference number, date, station and quantity, ready to share.

Proof of operation

Six verification steps before any litre is approved

This is how a fill moves through the driver app. Nothing is approved until all steps are complete.

  1. 1

    Odometer photo

Taken before filling to tie the quantity to the actual vehicle reading.

  2. 2

    Driver selfie

Confirms that the person refuelling is the driver authorised for the vehicle.

  3. 3

    Scan the vehicle QR code

Links the transaction to the vehicle itself, not to a number typed by hand.

  4. 4

    Set the quantity

By litres or by amount, with the request rejected automatically if it exceeds the balance or limit.

  5. 5

    Supervisor confirmation code

A one-time code sent to the supervisor and entered in the app to approve the transaction.

  6. 6

    Pump reading photo

The quantity is read from the pump display with OCR and matched against the request.

The app also requires the driver to be physically at the pump; a transaction cannot start from outside the station area.

What we do not claim

This does not eliminate manipulation entirely. No system does. It makes it visible, auditable, and expensive for anyone who tries.

Proof of operation
Who it is for

Three parties, one record

The fleet sees, the station operates, the driver executes. Everyone looks at the same data.

For fleet operators

Transport, logistics, contracting, rental companies and government entities that manage fuel every day.

  • A central fuel wallet with limits per vehicle and driver
  • Real-time consumption reports and alerts on breaches
  • E-invoices ready for settlement and tax requirements
  • One record per vehicle for fuel, oil, maintenance and washing
Fleet solutions

For station operators

Fuel stations that serve contracted fleets and want documented operations and paperless settlement.

  • Smart units installed on existing pumps
  • Supervisor-code approvals and asset tracking
  • Users, permissions, HR and logistics management
  • Electronic settlement with contracted fleets

What the system does, and what it does not

Our buyers are procurement managers, finance managers and government officials. They deserve a precise description, not a slogan.

What it does

  • Records every dispense with quantity, vehicle, driver, location and time.
  • Rejects a fill automatically when it exceeds the balance or the set limit.
  • Ties every transaction to an identified driver and a specific vehicle via QR code.
  • Issues e-invoices and reports ready for settlement.

What it does not do

  • It does not stop every attempt at manipulation; it makes them visible, auditable and costly.
  • It only works at contracted stations equipped with the smart units.
  • It does not replace internal fleet policy; it enforces and documents it.
  • It does not measure engine consumption; it records what the pump dispensed and the odometer at the time of filling.

If you have a question about a specific operational case, ask us directly and we will answer with what the system actually does.

FAQ

What fleet and station managers usually ask

An integrated fuel management system in three layers: smart units at the pump, a mobile app for drivers, and a cloud platform for fleets and stations. It is developed and owned by Triforce Systems.

No. The smart units are installed on existing pumps, and a fleet only needs a platform account and the driver app. Station installation takes days.

The driver opens the app at a contracted station and goes through six verification steps (odometer, selfie, vehicle code, quantity, supervisor code, pump reading). On approval the quantity is deducted from the fleet wallet and an instant receipt is issued.

Yes. The fleet company sets limits per vehicle and driver from the dashboard, and the system automatically rejects any request that exceeds them and alerts the manager.

Yes. All transactions are aggregated into e-invoices and consumption reports ready for settlement with the station and for tax requirements.

No, and no system does. What it does is make every transaction visible and auditable through photos, location, time and the supervisor code, so manipulation becomes costly for whoever attempts it.

Mobile number, vehicle details and location during a fill, plus the photos captured for verification. Collection and use are described in the privacy policy.
